As our Executive Assistant & Office Manager, you will be the secret weapon behind one of our agency’s top leaders — and the heartbeat of our Raleigh office. This dual role puts you at the center of the action: keeping our executive running smoothly while creating a workplace environment that people love walking into every day. Our Raleigh office is a growing hub of energy, collaboration, and big ideas — and we need someone who can keep it all humming. You’ll serve as the primary point of contact for the executive over Creative Communications & Experience, managing their calendar, communications, and travel with precision. At the same time, you’ll own the Raleigh office experience end-to-end. From the moment we settle into our new home at Raleigh Iron Works, you will be the heartbeat of the workspace, ensuring it remains a vibrant, efficient, and welcoming environment for our team. daily operations and inventory to event planning and emergency preparedness. This role requires exceptional organizational skills, sound judgment, discretion with confidential matters, and the ability to bring warmth and energy to everything you do.

Requirements

  • 3–5 years of experience in an Executive Assistant role supporting senior executives, with office management responsibilities
  • Strong organizational skills with the ability to prioritize tasks, manage competing deadlines, and maintain attention to detail across both EA and office operations duties
  • Excellent written and verbal communication skills
  • Ability to work independently and exercise sound judgment, especially when managing the office without direct oversight
  • Experience handling confidential information with discretion
  • Proven ability to foster productive relationships with team members, vendors, building management, and cross-functional partners
  • Demonstrated ability to anticipate needs and provide proactive solutions — you see the empty coffee pot and you’ve already brewed a fresh one
  • Hands-on experience with event planning, catering coordination, and vendor management
  • Comfort with physical office tasks: stocking shelves, setting up event spaces, receiving deliveries, and maintaining the office environment
  • Familiarity with inventory management principles and procurement processes

Responsibilities

  • As the Maestro of Schedules, you will orchestrate the executive’s calendar, travel, and day-to-day logistics with precision, occasionally even adding a touch of spontaneity to their routine.
  • You’ll become a Master Communicator by crafting responses to routine inquiries, keeping the executive informed on agency news, and serving as a stylish liaison between internal teams and external partners.
  • In this role, you act as a Guardian of Secrets, protecting confidential information like a vault, while troubleshooting with flair to anticipate and solve challenges before they arise.
  • As the Ultimate Gatekeeper, you will politely manage interruptions to ensure the executive has the space they need to shine, all while keeping the vibe alive by sharing exciting updates on agency policies and new accounts to keep the entire team energized.
  • You’ll own the Raleigh office experience from open to close.
  • That means running the daily operations playbook, opening the office to “showroom ready” standards each morning, keeping the kitchen stocked and common areas guest-ready throughout the day, and closing down with a full security and reset checklist each evening.
  • You’ll manage inventory and procurement across snacks, supplies, and facilities, conducting weekly stock counts and placing orders through approved vendors so the office never runs on empty.
  • You’ll also plan and execute internal events — from team happy hours and client lunches to seasonal celebrations — handling catering logistics, vendor coordination, setup, and breakdown.
  • On the safety side, you’ll maintain the office’s Emergency Action Plan, keep First Aid supplies current, and serve as the on-site liaison with building security and property management.
  • When awards and recognitions come in, you’ll verify their legitimacy, loop in Marketing and Talent, and coordinate trophy displays.
