About The Position

The Executive Administrative Assistant will administratively support assigned members of the Executive Team and projects across the organization.

Requirements

  • High school diploma required
  • Previous experience in a corporate office setting
  • Proficiency with computer skills required.
  • Able to handle multiple tasks at a time with attention to detail
  • Must be reliable and have strong communication skills
  • Able to work in a fast-paced environment with the flexibility to handle various duties and projects at one time

  • Bachelor’s degree preferred.

Responsibilities

  • Providing administrative support to assigned members of the Executive team.
  • Providing administrative tasks such as writing and editing e-mails, drafting memos, and preparing communication.
  • Managing the executive’s calendar, including making appointments and prioritizing sensitive matters, maintaining comprehensive and accurate records.
  • Assist in overseeing the Corporate Office and ensure the facility is well maintained, including meeting room set up and breakdown.
  • Act as an office manager by keeping up with office supply inventory. Act as the point of contact among executives, employees, clients, and other external partners to perform minor accounting duties.
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Answering phone calls in a polite and professional manner.
  • Welcome visitors and identify the purpose of their visit before directing them to the appropriate department or team member.
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Create spreadsheets, organize notes or other administrative tasks as needed.
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Any other matters as assigned by management.
