About The Position

The Executive Assistant provides high‑level support to the CEO, ensuring seamless coordination of executive and legal functions. This role is responsible for managing complex scheduling, travel, and documentation needs while supporting compliance initiatives and facilitating communication across departments and external partners. The Executive Assistant plays a critical role in enabling organizational efficiency and supporting strategic priorities.

Requirements

  • Bachelor’s degree in Business Administration, Legal Studies, or related field preferred
  • 5+ years of experience supporting C-suite executives, ideally in scientific, technical, or legal industries
  • Experience in contract review, compliance, or corporate governance
  • Ability to work independently, exercise sound judgment, and manage competing priorities
  • Professional demeanor with strong interpersonal skills
  • Proactive problem-solver who anticipates needs before they arise
  • Adaptable and resourceful in a dynamic, growth-oriented environment

Responsibilities

  • Manage and maintain the CEO’s calendar, meetings, and travel arrangements.
  • Draft, review, and edit contracts, agreements, and legal correspondence.
  • Support compliance initiatives, including regulatory filings and corporate governance documentation.
  • Prepare agendas, briefing materials, and presentations for executive and board meetings.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Assist the CEO in prioritizing initiatives and tracking progress on key projects.
  • Conduct research and prepare summaries to support executive decision‑making.
  • Coordinate communication between departments, external partners, and legal counsel.
  • Support development of board materials and executive‑level reports.
  • Organize and manage logistics for executive meetings, conferences, and events.
  • Maintain accurate records, files, and databases, including legal and compliance documents.
  • Process expense reports and assist with budgeting for the executive office.
  • Ensure timely follow‑up on action items and commitments.
