Position Overview We are looking for an Executive Assistant to perform a wide variety of administrative and operational support activities for two Vice Presidents, with minimal support responsibilities for 2–3 other Vice Presidents as needed. This role requires a highly organized, proactive professional who can operate independently, manage competing priorities, and provide seamless support across multiple corporate environments. A critical component of this role is managing email and calendar activity across two separate Microsoft O365 tenants, requiring frequent context switching, strong attention to detail, and sound judgment to ensure accuracy, confidentiality, and alignment across organizations. The Executive Assistant will contribute to the overall efficiency and effectiveness of the business by providing personalized, timely, and anticipatory support to VPs. East Coast Preferred

Requirements

  • Typically requires 6+ years of related experience.
  • Demonstrated experience managing high‑volume email and complex calendars in Microsoft Outlook.
  • Advanced proficiency in Microsoft O365 (Outlook, Word, Excel, PowerPoint), including managing multiple accounts or tenants.
  • Advanced proficiency in Concur with prior experience supporting travel and expense management.
  • Strong written and verbal communication skills; ability to communicate professionally at all levels.
  • Ability to function well in a fast‑paced environment and manage competing priorities.
  • Flexible hours as dictated by business needs for projects, meetings, and travel.

Responsibilities

  • Provide primary administrative and operational support to two Vice Presidents, serving as the main point of contact for calendar, email, travel, and support needs.
  • Provide secondary/minimal support to 2–3 additional Vice Presidents, primarily focused on travel coordination, expense reporting, and minor administrative assistance.
  • Manage highly sensitive matters with a high level of confidentiality and discretion, particularly decisions that directly impact business operations.
  • Own and manage VPs’ calendars and inboxes across two separate Microsoft O365 environments, ensuring accuracy, prioritization, and alignment between organizations.
  • Toggle seamlessly between distinct O365 tenants to coordinate meetings, respond to emails, and manage scheduling conflicts without cross‑tenant errors.
  • Sustain complex daily calendars, including internal meetings, external meetings, and cross‑organizational coordination.
  • Proactively screen, triage, and manage emails across multiple inboxes; respond independently where appropriate and escalate when needed.
  • Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documentation in support of organizational objectives.
  • Arrange travel (including complex trips) and prepare expense reports in accordance with company policy.
  • Draft and prepare correspondence for internal communications and external stakeholders associated with VP roles and responsibilities.
  • Conserve VPs’ time by reading, researching, and collecting information in advance of meetings and decision points.
  • Organize and reconcile complex schedules, resolving conflicts proactively and efficiently.
  • Complete ad hoc projects as assigned, including offsite meetings, internal events, and special initiatives.
  • Represent the company and VPs in a professional and positive manner through strong follow‑through and sound judgment.
  • Be responsive to emails, texts, and phone calls; availability outside of normal business hours may be required during travel periods.
  • Use discretion, confidentiality, and good judgment when handling VP‑level matters.
  • Provide general assistance to visitors and support office‑based needs as required.
