About The Position

Interlink seeks an innovative Executive Assistant to the CEO to join our team. Interlink is a nationally recognized IT consulting company, offering the flexibility of a small company while providing stability and benefits usually found at enterprise firms. The Role You’ll work directly for the CEO and VP/CTO as their Executive Assistant, responsible for a high volume of tasks, including schedule coordination, creating and maintaining organizational systems, and handling travel and event logistics. You'll also support various leadership team functions, working closely with the People and Operations teams. You, our ideal candidate, are highly organized, reliable, and skilled at project tracking. You efficiently manage and prioritize tasks for our executives. You enjoy interacting with many people and maintaining an engaging and positive attitude. You can operate with minimal guidance or supervision and are good at anticipating problems while managing multiple and sometimes conflicting priorities and inputs.

Requirements

  • 3+ years’ experience supporting senior-level executives, with a preference for experience working for entrepreneurs or small / mid-sized enterprises
  • Background in complex calendaring and travel management (international, domestic, professional, and personal)
  • Appreciate and enjoy a fast-paced work environment
  • Thrive on being known as a coordinator of chaos
  • Be able to have fun, laugh at yourself, and engage with the team
  • Excellent verbal and written skills and the ability to express thoughts logically
  • Highly organized, attention to detail, and process-oriented with a sense of urgency to ensure tasks are completed thoroughly and correctly
  • A goal-oriented approach to project management with good follow-through
  • Ability to handle the 'hands-on' day-to-day management of tasks, resolution of problems and issues, and experience in implementing action plans to meet objectives
  • The confidence to proactively jump in and own tasks
  • Collaboration and teamwork to work effectively with team members and external partners
  • A high level of integrity, discretion, and judgment to effectively handle confidential information
  • Agility to determine whether tasks and situations require planning and project management, urgency and action, or escalation and analysis, and to confidently work through the task at hand accordingly
  • Resourceful, hands-on problem solver and team player with a demonstrated ability to work collaboratively with others, and a calm demeanor in stressful situations
  • Strong working knowledge of Microsoft applications (Word, Outlook, PowerPoint, Excel, Planner, Teams)
  • Ability to pass a pre-employment background check

Responsibilities

  • Develop and maintain schedules and prioritize activities for the CEO and CTO
  • Proactively assess and prepare for upcoming commitments and obligations, externally and internally
  • Coordinate staff meetings, including setting agendas, identifying action items, and tracking deliverables
  • Manage domestic and international travel itineraries – business and personal
  • Manage logistics for numerous events throughout the year, including conferences, retreats, employee engagement activities (team events and activities), and company meetings
  • Organize and oversee a number of vendors used by the business, including cleaning, building maintenance, supplies, etc.
  • Personal assistance to the CEO, including the scheduling of personal appointments, facilitation of social gatherings, and personal/family travel
  • Management of the Personal Assistant to the CEO
  • Assist with a variety of initiatives across company functions, including [MS1] research, operations, and client servicing
  • Welcome visitors, employees, partners, job candidates, prospects, and customers, ensuring a positive office experience
  • Track, manage, and input expense documentation
  • Manage additional special projects as needed
