About The Position

We’re hiring a high-performing Executive Assistant to directly support our CEO and executive leadership. This role is ideal for a proactive, systems-driven EA who thrives in fast-paced, high-ownership environments and loves building structure from chaos. You’ll work closely with the CEO and Chief of Staff as part of a growing executive operations team. You are not just an assistant — you are an operator. You anticipate needs, manage competing priorities, automate tasks that slow the team down, and help leaders focus on what matters most. You are comfortable forcing trade-offs, setting boundaries, and navigating ambiguity. This role requires strong communication, excellent judgment, and the confidence to “manage up.”

Requirements

  • 3+ years supporting C-level or founders in startups
  • Strong “managing up” mindset
  • Highly organized with multi-channel communication skills
  • Proactive and process-driven
  • Active AI user and automation builder
  • Comfortable in ambiguity and fast change
  • Intermediate Google Sheets / Excel
  • Excellent English communication
  • Reliable internet + home office
  • Availability: 8 am to 8 pm US Central Time (weekdays)

  • Background in sales, lead generation, or outreach

Responsibilities

  • Own the CEO’s inbox, calendar, Slack, texts, and voice notes
  • Force trade-offs when schedules conflict
  • Proactively reschedule and recommend alternatives
  • Label, organize, and clarify all calendar events
  • Maintain clean systems across all communication channels
  • Track and follow up on the CEO’s outbound messages and leads
  • Coordinate introductions and partnerships
  • Manage inbound requests from internal and external stakeholders
  • Manage personal scheduling, errands, and confidential requests
  • Handle time-sensitive requests with discretion
  • Partner with the Chief of Staff on executive priorities
  • Provide visibility into CEO's bandwidth and commitments
  • Flag overcommitments and capacity risks
  • Build SOPs as you execute
  • Use AI tools and automations to eliminate repetitive tasks
  • Track projects using Notion, Airtable, or similar tools
  • Maintain trackers in Google Sheets / Excel
  • Support research, presentations, and fundraising
  • Coordinate across the company's portfolio companies
