About The Position

The Executive Assistant oversees and manages the daily operations of office staff to ensure efficient workflows, high quality service delivery, and effective cost control. This role develops, implements, and monitors administrative procedures and policies to support organizational efficiency. The Executive Assistant is responsible for coordinating strategic operations such as reception, general office supplies, and technical support. The role also supports executives through advanced administrative functions including schedule management, meeting preparation, information gathering, and project coordination. The Executive Assistant exercises sound judgement, maintains confidentiality, and fosters positive relationships across the organization.

Requirements

  • Ability to make day-to-day administrative decisions and manage competing priorities.
  • Strong written and verbal communication skills.
  • High level of discretion, judgement, and professionalism.
  • Proficiency in office technology, document management systems, and scheduling tools.
  • Analytical skills with the ability to track costs, monitor budgets, and prepare budgets.
  • Problem-solving and resource coordination abilities.
  • Ability to build productive relationships at all levels of the organization.
  • Self-directed and able to handle ambiguity.
  • Typically requires 3–5 years of related experience as an individual contributor in administrative or operational roles.
  • Thorough knowledge of office operations, administrative procedures, and department processes.

Nice To Haves

  • Bachelor’s degree preferred.
  • Experience supervising para-professional or administrative staff in a high-volume environment is highly preferred.

Responsibilities

  • Provides high-level administrative support and assistance to the General Manager, Advisory Board, and/or other assigned leadership staff.
  • Oversee daily office operations to ensure smooth workflows and timely service delivery.
  • Develop, implement, and maintain administrative policies and procedures.
  • Manage key office functions including:
  • Record-keeping and document retention
  • Internal and external communications
  • Reception and customer service
  • Office equipment, supply purchasing, and vendor selection; within scope
  • Technical support coordination
  • Project scheduling and coordination
  • Analyze operational processes and expenses; prepare reports and implement improvement strategies.
  • Troubleshoot issues across administrative functions, coordinating resources to determine effective solutions.
  • Provide high-level administrative support to executives, including:
  • Managing schedules, meetings, travel arrangements, and follow-up tasks
  • Conducting research and preparing summaries, briefings, and reports
  • Ensuring effective communication and productive interactions across the organization
  • Maintain discretion and confidentiality in all actions, following organizational policies.
  • Performs other related duties as assigned.
