About The Position

The Alexa organization is seeking a highly organized, proactive and driven Executive Assistant to support Directors in Sunnyvale, California. The Executive Assistant (EA) will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives across the company. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group. The EA must be creative, organized, detail-oriented, exercise good judgment, have strong written, verbal and administrative skills. The EA must be able to work in a dynamic, complex work environment and balance multiple priorities. They will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of tasks, assignments and confidential matters with discretion. The EA must demonstrate a strong bias for action by handling administrative matters expeditiously, proactively and professionally to ensure successful completion of assigned projects and tasks. This exciting role requires attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior leaders and engineers inside the company is important, as is a good sense of humor.

Requirements

  • 5+ years of executive assistant experience
  • Experience with executive level calendar management
  • Experience with domestic or international travel coordination
  • Experience handling administrative details independently, while exercising good judgment in keeping team members adequately informed

Responsibilities

  • Manage an active and fluid calendar; must show meticulous attention to detail in scheduling, coordinating and planning internal meetings, agendas and appointments
  • Planning detailed domestic and international travel
  • Manage expense report coordination and submission
  • Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)
  • Serving as the "gatekeeper" to the executive office, screening and prioritizing appointments/meeting requests while always providing polite and professional service
  • Communicating on behalf of the senior executive directly with the leadership team and other stakeholders across the organization
  • Help to develop & maintain new org mechanisms
  • Training other administrative staff on company policies and best practices
