About The Position

Woolpert is hiring an Executive Assistant to join our dynamic Corporate Administrative team at our Saint Petersburg, FL office. This position, reporting to the EVP of Geospatial and working in partnership with the Executive Assistant to the CEO, is responsible for providing high-level administrative support to members of Executive Leadership. This role is responsible for a wide range of activities including, managing complex calendars, coordinating domestic and international travel, managing communications, and coordinating projects. This hybrid position provides support to two executive leaders, including one based locally in St. Pete. We are unable to provide visa sponsorship for this position. Applicants must already possess work authorization in the country the job is located.

Requirements

  • Must have prior administrative support experience at C-level.
  • Must possess expert Microsoft Office skills, including Outlook, Teams, PowerPoint, Word, and Excel.
  • Must demonstrate a strong attention to detail.
  • Ability to juggle multiple requests and prioritize.
  • Ability to maintain confidentiality of information related to the company and employees.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to build strong internal relationships with senior leadership, other executive assistants, and external clients.
  • Ability to maintain a positive and professional demeanor.
  • Accustomed to working in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Excellent time management skills.
  • Occasional travel is required.

Nice To Haves

  • Skills using Microsoft CoPilot and other AI tools is a plus.

Responsibilities

  • Manage executive calendars and schedule meetings.
  • Coordinate heavy travel arrangements, including international travel arrangements. Executives travel internationally frequently.
  • Act as a liaison between executives and internal/external stakeholders.
  • Attend meetings as requested and compile meeting minutes and action items.
  • Organize team communications and plan events.
  • Handle special projects or other duties as requested by executives.
  • Process/manage expense reports, timesheet submissions, and approvals.
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information and ensure the action required is addressed in a timely manner.
