Warner Music Group’s Communications team is responsible for the company’s internal and external brand and reputation. We manage press inquiries, write announcements, prepare executives for speeches, manage the company’s social media accounts, host events, create advertising, and much more. We are a small but mighty team who shares a passion for music and the artists and songwriters we support. We are seeking a detail-oriented music enthusiast to join the team as an administrative assistant. This role reports into the Executive Vice President and Chief Communications Officer, Warner Music Group.

Requirements

  • 5–8 years of experience in directly supporting C-suite executives preferably within a PR agency or a fast-paced corporate communications environment.
  • Exceptional verbal and written communication skills with the ability to interact thoughtfully and professionally with stakeholders at all levels, from junior staff to global executives.
  • Expert-level command of Google Workspace (Gmail, Sheets, Docs, Slides)
  • The ability to orchestrate multiple overlapping meetings, projects, and vendor relationships with precision.
  • A self-starter mentality, anticipating challenges before they arise and offering creative, innovative solutions.
  • Proven ability to multitask and remain flexible while managing a high-volume workload and shifting priorities.
  • Meticulous attention to detail with an emphasis on deadline awareness
  • Adept at navigating social media platforms and staying current with digital communication trends.
  • Advanced knowledge of travel logistics- itineraries, international and domestic
  • Adaptable and able to excel in a fast-paced, ever-changing environment

Nice To Haves

  • Bachelor’s Degree or equivalent
  • Knowledge of, or interest in the music industry
  • Experience using SAP Ariba and SAP Concur

Responsibilities

  • Act as the primary gatekeeper and liaison for the EVP and Chief Communications Officer, whilst also supporting two SVPs across Corporate Communications and Marketing.
  • Screen, prioritize, and escalate requests while maintaining professional relationships.
  • Lead complex global calendar management, including multi-city international and domestic travel, meeting logistics, and real-time schedule adjustments across multiple time zones.
  • Manage Executive’s schedule, which includes, but is not limited to, planning and coordinating internal/external meetings, conferences, business and personal travel (domestic and international), etc.
  • Anticipate critical events and Executive’s needs.
  • Manage financial administrative tasks, including vendor management, generation of POs and timely processing of vendor invoices.
  • Manage highly-sensitive, confidential information with the highest level of discretion.
  • Manage all aspects of executive meetings, including conference room bookings, document preparation, and occasional meeting coverage with minute-taking.
  • Organize department drives/files, and meticulously track and maintain travel and entertainment expenses.
  • As part of a global team, you will also assist in real-time media monitoring to keep leadership informed of industry trends.
  • You will also have the opportunity to contribute to the creative process by drafting and brainstorming content for internal newsletters, trade advertisements, and corporate social media channels.
  • Act as the designated secondary point of contact for the CEO’s office, ensuring seamless continuity of operations and schedule management
