About The Position

As the largest community-based provider of medically tailored meals in the Southeast, Open Hand Atlanta seeks a highly skilled Executive Assistant to serve as the primary support for the Chief Executive Officer and Chief Operating Officer. This role requires strong judgment, exceptional communication and organizational skills, and the ability to thrive in a mission‑driven, results‑oriented environment. The Executive Assistant must excel at managing multiple priorities, maintaining confidentiality, and navigating high‑pressure situations with discretion while supporting a wide range of administrative and strategic activities.

Requirements

  • 3 - 5 years of related work experience
  • Familiarity with non-profit sector
  • Ability to effectively manage multiple and competing priorities and tasks
  • Excellent time management, critical thinking, and verbal skills
  • Ability to work with sensitive information and maintain confidentiality including adherence to HIPPA and confidentiality of client health information are required
  • Advanced Microsoft Word, Excel, PowerPoint, Outlook, and Teams skills
  • Ability to build relationships at all levels - internally and externally
  • Strong customer service mindset
  • Strong organizational and time management skills
  • Ability to work independently
  • Must have a bachelor’s degree or equivalent experience.
  • Primary residence must be of the State of Georgia

Responsibilities

  • Act as liaison to clients, constituents, staff, and Board of Directors.
  • Maintain and manage CEO’s and COO’s calendar up to and including scheduling meetings, travel dates, lunches and dinners.
  • Ensures meeting set-up is prepared prior to meetings and events (room booked and set-up, tech interfaces working, refreshments, etc.)
  • Prepare, manage, and maintain CEO’s and COO’s expense reports and files.
  • Schedule Leadership Team and Senior Director monthly meetings and prepare agendas.  Attend Leadership Team meetings to record key decisions and action items.  Distribute action items to Leadership Team post meeting.
  • Assist CEO in fundraising activities with Board Members and major donors to the organization.
  • Assist CEO with hosted dinners and cultivation events.
  • Maintain and manage collaborative, associates, partnerships and administrative files.
  • Compose, prepare and maintain correspondence involving complex and non-routine matters as instructed by the CEO and COO.
  • Coordinate special projects as directed by CEO or COO.
  • Manage all Board of Directors administration, including ongoing Board member communication; scheduling and coordinating Board meetings, orientations, and the Annual Board Retreat; preparing agendas, minutes, and official records; and completing additional Board-related duties as assigned by the CEO and COO.
  • Complete other duties as assigned by the CEO and COO.
