About The Position

The Executive Assistant will provide administrative support to the VP Executive Director Ellis Foundation to ensure the smooth and efficient operation of the office. The Executive Assistant will be highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced environment.

Requirements

  • College education with Associate or Bachelor's degree preferred but will consider relevant experience.
  • Previous administrative and secretarial experience for senior management for at least five (5) years required.
  • High ethical standards, including confidentiality and ability to handle a high volume of work with minimal supervision is essential.
  • Must possess cordial interpersonal skills and exhibit flexibility within the scope of the position.
  • Ability to work with all publics of the hospital, including Board of Trustees, medical staff, hospital administration and all management staff of the organization.
  • Advanced Microsoft Office skill.
  • Strong organizational, project management and problem-solving skills.
  • Ability to multi-tasks projects.
  • Exceptional interpersonal skills and customer service oriented, friendly and professional demeanor.
  • Excellent communication skills.
  • Should be able to push/pull, lift/move 15 lb., be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers.
  • Mobility requirements may include the ability to be stationary at a workstation for a prolonged period time in addition to being able to squat or be mobile for a reasonable length of time and distance.
  • Communication requirements include the ability to comprehend the spoken English language in addition to being able to communicate and read the English language.

Responsibilities

  • Coordinate executive communications including taking calls, responding to emails, and interfacing with clients.
  • Prepare internal and external documents, reports, and presentations.
  • Scheduling and coordination of meetings and accurately recording and transcribing minutes.
  • Schedule meetings and appointments and manage travel itineraries.
  • Maintain an organized filing system of paper and electronic documents.
  • Manage inventory of office supplies.
  • Exercises discretion, diplomacy, and confidentiality.
  • Adheres to the policies and procedures related to mandatory education and annual health assessments.
