Capital Power is looking for a dedicated Executive Assistant to be a supportive force who empowers our senior leadership in our new Washington DC office . If you have diverse skills and like being involved in many responsibilities, this is the job for you! Reporting to the Executive Assistant Team Lead, the Executive Assistant is accountable for providing complex and confidential administrative support in a proactive manner to the Executive Team as a whole, and may be assigned to provide ongoing, day-to-day administration support of a specific member (or members) of the Executive.

Requirements

  • Completed High School Diploma and a completed certificate or diploma in Office / Business Administration, Records Management or Events Management would be considered an asset. Education equivalency may be considered.
  • A minimum of 3 years of progressive experience as an executive assistant.
  • A solid understanding of Microsoft Office is required; SharePoint, Oracle and Workday experience would be considered an asset.
  • You have exceptional verbal and written communication skills and the ability to highlight experience and strength in situations regarding multitasking amidst competing demands.
  • You have excellent organizational skills and a strong attention to detail.
  • Keen problem-solving skills and the ability to deal with discretionary information with reliability and confidentiality is essential for this role.
  • Able to adapt and be flexible to change and embraces changes with a positive attitude.
  • In order to be considered for this role you must be legally eligible to work in the United States.

Nice To Haves

  • SharePoint, Oracle and Workday experience would be considered an asset.
  • Completed certificate or diploma in Office / Business Administration, Records Management or Events Management would be considered an asset.

Responsibilities

  • Anticipating needs and providing a broad range of confidential administrative support services for members of the executive team.
  • Works closely with their executive(s) to complete strategic projects as required
  • Strong ability to make decisions with little direction and Proactively overseeing, coordinating and maintaining calendar of appointments, including meetings, events and travel arrangements.
  • Providing hands-on support with event planning and executing and leading events as assigned.
  • Initiating and maintaining various reports, board materials, presentations and correspondence.
  • Responding to internal and external inquiries in an accurate and timely manner, and ensuring positive relationships are developed and maintained; managing initial contact with external parties who wish to make inquiries of the executive team.
  • Preparing meeting agendas and materials, attending meetings to record notes and following up on designated action items.
  • Screening emails, telephone calls and incoming mail; responding on behalf of executive team or re-routing as appropriate.
  • Completing monthly expense claims; overseeing A/P admin processes (vendor set-up, invoice payment).
  • Providing backup and vacation coverage to other team members on as needed basis.
  • Managing and booking travel arrangements in the most economical and efficient means, including flights, accommodations, car rentals/local transportation and conference/event registrations; suggesting opportunities for additional meetings to improve business travel; ensuring effective cross-border documents are in place.
  • Following and handling the P-Card reconciliation process and verification process.
  • Completing A/P admin functions in accordance with relevant policies.
  • Completing all required Health, Safety & Environment training, adhering daily to safe work practices.
  • Working and developing positive relationships with a cross function of different departments (i.e., Investor Relations, Accounts Payable, Finance).
  • Developing a broad network of contacts and maintaining relationships with outside venues to support and facilitate external events.
