Requirements

  • Bachelor's degree in Business Administration or related field preferred; equivalent experience accepted.
  • Minimum 7+ years of experience supporting C-suite executives in a high-growth or fast-paced organization.
  • Proven track record managing both executive-level and personal responsibilities with discretion and professionalism.
  • Expert in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with collaboration tools (Teams) preferred.
  • Strategic Agility: Ability to think ahead, prioritize effectively, and align administrative support with executive and organizational goals.

Responsibilities

  • Strategically manage a complex and rapidly evolving calendar, balancing business priorities, travel, meetings, and personal commitments to optimize productivity and focus.
  • Plan, organize, and execute executive meetings, board sessions, and company-wide events this will include agenda development, briefing materials, technology coordination, and post-meeting actions.
  • Arrange detailed domestic and international travel itineraries, ensuring seamless logistics, pre-travel briefings, and alignment of travel with strategic objectives and personal preferences.
  • Serve as a professional liaison and representative during interactions with internal teams, clients, board members, and external stakeholders. Draft, review, and edit correspondence, reports, and presentations with exceptional attention to tone, accuracy, and brand voice.
  • Lead or support strategic and confidential projects, including data gathering, research, presentation development, and cross-functional coordination.
  • Manage sensitive information and personal matters with discretion and integrity, ensuring a balance between business and personal priorities. Provide hands-on support with personal appointments, travel, and family logistics as needed.
  • Anticipate needs, identify opportunities to improve workflow, and implement systems to enhance efficiency across the executive office. Maintain a proactive and solutions-oriented approach to problem-solving.
  • Plan and oversee executive offsites, leadership meetings, and high-profile company events, including vendor management, budgets, guest coordination, and logistics.
