About The Position

The firm provides a comprehensive suite of services, products, and data that enable clients to navigate complex, contentious, and often catastrophic situations. We are seeking an Executive Assistant to join our Accident Reconstruction team in the Denver office, which has approximately 40 professionals. This role is a unique opportunity for a driven person with a well-rounded skill set, extending beyond traditional Executive Assistant responsibilities. The ideal candidate will need a strong grasp of administrative tasks, flexibility, and strategic thinking to take on a variety of tasks. The team provides consulting and expert witness services, primarily to law firms and insurance claims professionals, focusing on determining the causes and dynamics of vehicle accidents. J.S. Held is focused on learning and development and is continually looking to attract and retain top talent who are creative, self-motivated, and organized.

Requirements

  • Previous experience in office administration or other related fields; preferably supporting senior management in large organizations
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Microsoft Office required. Must be Excel, Word, and PowerPoint proficient and have the ability to embrace new technology.
  • Demonstrate job stability.
  • Must be able to commute and work in person 5 days week in our Greenwood Village, CO office.

Responsibilities

  • Assist in editing, detail quality review and finalizing reports and exhibits to provide to clients
  • Process inquiries into the firm’s services and individual team members request for services
  • Process conflict check inquiries, assist in billing, generating invoices, process new case information and interaction with firm systems D365 and BOX
  • New case set up, processing case documents provided by clients, organization of documents in folders, correspondence directly with clients
  • Able to multi-task, field client inquiries, assist in preparation of reports, work with others in the office
  • Handles requests and performs administrative support to small teams and/or leadership as needed for special projects
  • Back up reception/answering calls, taking messages and transferring phone calls.
  • Assist with any other tasks assigned by the executives
