Position Overview Gladstone Psychiatry & Wellness is seeking a highly organized, proactive, and strategic Executive Assistant to support our Executive Leadership Team (ELT). This role will manage and optimize the calendars of six executives, ensuring alignment across departments, protecting leadership focus time, and driving operational efficiency. The ideal candidate will act as a gatekeeper, prioritization partner, and coordination hub for executive leadership in a fast-paced and growing healthcare environment. We are looking for someone who is self-driven, motivated, detail-oriented, and eager to grow within the organization.

Requirements

  • 2+ years of experience supporting senior executives (healthcare experience preferred)
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to manage competing priorities in a fast-paced environment
  • High level of discretion and professionalism
  • Proficiency in Google Workspace and Microsoft Office
  • Strategic calendar management and prioritization
  • Anticipatory problem-solving
  • Follow-through and accountability
  • Professional presence and executive maturity
  • Adaptability in a growing organization

  • Experience with project tracking tools preferred

Responsibilities

  • Manage and strategically optimize calendars for six senior leaders
  • Prepare meeting agendas and document action items with clear follow-up tracking
  • Support projects led by the ELT, follow up with stakeholders, and keep initiatives on schedule
  • Draft, edit, and format communications on behalf of leadership
  • Coordinate recruiting logistics for clinical and executive roles
  • Order and manage office and executive supplies as needed
  • Coordinate meeting logistics, including room reservations, technology setup, catering, and materials
  • Maintain an up-to-date clinical directory
  • Serve as a liaison between executives and internal/external stakeholders
  • Other duties as assigned by the executive team
