About The Position

We are seeking a highly organized, proactive, and experienced Executive Assistant to support the Owner of a growing mortgage company in Douglasville, GA. This role requires someone who can operate with discretion, anticipate needs, and manage both business and personal responsibilities with minimal direction. Prior experience as an executive or administrative assistant is required; experience in the mortgage or financial services industry is strongly preferred but not required. This is a high-trust, detail-driven role for someone who thrives in a fast-paced environment and enjoys being a true right hand to an executive.

Requirements

  • Prior experience as an Executive Assistant or Administrative Assistant (required)
  • Mortgage industry or financial services experience preferred, but not required
  • Strong organizational and time-management skills
  • Ability to work independently and make sound judgment calls
  • High level of professionalism, discretion, and reliability
  • Excellent written and verbal communication skills
  • Comfortable juggling both business and personal responsibilities
  • Strong attention to detail and follow-through
  • Proficiency with Microsoft Office, Google Workspace, and scheduling tools
  • Comfortable learning new systems and processes

Responsibilities

  • Manage and maintain the Owner’s calendar, scheduling meetings, calls, travel, and reminders
  • Coordinate internal and external meetings with employees, partners, and vendors
  • Draft, review, and manage emails and correspondence on behalf of the Owner
  • Assist with meeting preparation, follow-ups, and task tracking
  • Handle confidential and time-sensitive information with discretion
  • Support special projects and operational initiatives as assigned
  • Manage select personal scheduling, appointments, and logistics
  • Assist with personal travel planning and coordination
  • Help organize personal to-do lists and reminders
  • Handle occasional personal administrative tasks as needed
  • Assist with personal and business expense tracking
  • Help manage basic accounting-related tasks such as bill tracking, reimbursements, and documentation
  • Work with accountants or bookkeepers as needed
  • Maintain organized digital and physical filing systems
  • Act as a gatekeeper and point of contact for the Owner
  • Coordinate priorities across multiple responsibilities
  • Anticipate needs and solve problems proactively
  • Support ad hoc projects that help improve efficiency and organization
