Requirements

  • Demonstrated skill and experience supporting C-suite and high-level executives
  • Strong organizational skills and the ability to multi-task
  • Ability to preserve confidentiality and handle sensitive information with discretion
  • Ability to take initiative, work autonomously, and own a project through completion
  • Deep meeting and travel/planning experience, 5+ years and the ability to project manage large events
  • 8+ years of experience in a high-level Administrative Assistant role
  • Demonstrated high-level of proficiency in the Microsoft Office Suite
  • Ability to collaborate and contribute in a team environment
  • Strong attention to detail
  • Confident professional able to work with employees from all levels
  • Outstanding customer service focus and desire to support
  • Advanced interpersonal, written, and oral communication skills

Nice To Haves

  • Experience with SharePoint preferred
  • Some college or trade school equivalent education preferred

Responsibilities

  • Maintain appointment schedules by planning and scheduling meetings, conferences, teleconferences and travel
  • Conserve VP’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications as necessary
  • Create documents and PowerPoint presentations from VP’s content
  • Assist with expense reporting, and track direct reports expense reports for approval
  • Communication: support interoffice communication with monthly reports, information collection and basic analysis
  • Oversee all meeting scheduling and planning for department VP and Directors.
  • Coordination and synchronization of meeting room calendars for maximum efficiency in meeting planning
  • Working with key vendors, hotels, and catering companies for meeting needs.
  • Ensure a master calendar is maintained to maximize collaboration opportunities within the department and division
  • Contribute to maintaining front office/reception area as needed
  • Support Executive Administrator with general office operations as needed
