About The Position

The Analytics & Data (A&D) Organization is a key growth area within Morgan Stanley’s Wealth Management Division, playing a critical role in the execution of the wider Wealth Management strategy. A&D supports Wealth Management’s business objective of delivering first class investment advice and driving tactical decision making at scale by utilizing data and analytical tools to drive innovation in an increasingly competitive landscape. The Administrative Assistant will provide efficient and effective executive support to a Managing Director in the Wealth Management Analytics & Data team, in areas such as calendar management, expense management, and travel arrangements. The role requires an Administrative Assistant that possesses structure, attention to detail, quality focus, enthusiasm and flexibility in a high-paced work environment. In this role you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal contacts across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. The Administrative Assistant would be a team player and would participate in daily calls to review all upcoming meetings, events etc.

Requirements

  • 3+ years of experience working as an executive assistant in a corporate environment
  • Detail orientated with superior organizational skills
  • Advanced Microsoft Office skills (Word, Excel, Outlook and PowerPoint)
  • Effective communication and interpersonal skills (both written and verbal)
  • Strong time management skills
  • Team player with the ability to collaborate with others
  • Ability to work in a fast-paced, evolving environment
  • Adaptable and ability to multitask

Responsibilities

  • Manage calendars and coordinate logistics for internal, external events and team meetings team, including attendees, materials and communications
  • Monitor email, mail services, general copying, filing and scanning
  • Schedule travel and process expense reports
  • Assist with various meeting preparation
  • Actively engage in available training and education programs to maintain current status on policies, procedures and risk awareness
  • Facilitate and/or conduct ad hoc projects, trainings, and events for the team as necessary
  • Administer other duties as delegated by the team
