About The Position

Smartly is looking for an Executive Assistant to join their fast-growing team. In this hybrid role, you will support the Chief Human Resources Officer (CHRO), Chief Product Officer (CPO), and Chief Marketing Officer (CMO) and collaborate closely with global teams. The role involves owning administrative tasks, calendar management, and event coordination. Successful candidates must be sociable, have excellent problem-solving skills, and an entrepreneurial spirit, with attention to detail and strong communication skills being essential. The position requires comfort handling highly confidential information, juggling scheduling across multiple time zones, and thriving in a fast-paced environment. Requirements

  • Experience in a similar role supporting senior-level executives in a high-growth, fast-paced company
  • Strong ability to multitask, prioritize, and meet deadlines in a dynamic environment
  • Excellent verbal, written, and interpersonal communication skills
  • Project management skills and experience
  • An independent, well-structured working style with a proactive, can-do attitude
  • Ability to learn quickly and strong determination to achieve goals
  • Proficiency in Google Workspace and Microsoft Office

Nice To Haves

  • Experience working in a startup environment (a focus on Social or AdTech is a plus)
  • Bachelor’s degree preferred

Responsibilities

  • Support the Chief People Officer, Chief Product Officer, and Chief Marketing Officer
  • Work closely with our NYC, Chicago, and Helsinki Executive Assistants
  • Actively manage and own executives’ calendars, including arranging and prioritizing meetings
  • Coordinate executive travel, help plan internal and external events, and own all expense collection and submission
  • Collaborate cross-functionally to improve existing business operations
  • Represent the Smartly.io brand in all interactions
