The Department of Labor is seeking an Executive Assistant to perform professional level administrative and technical work for the Commissioner's Office. Duties may include serving as assistant to the Commissioner, overseeing central office management, providing office coordination and managing workflow, directing a wide variety of support services, and may have program responsibilities. Incumbent frequently deals with the general public and elected officials and is front-facing at the reception desk in the central office. Work is performed under the direction of the Commissioner or designee. Plans, organizes and supports day-to-day central office support activities and ensures the smooth and efficient operation of the office. The Executive Assistant is generally knowledgeable about the department mission/functions and serves as the Commissioner's public-facing representative, responsible for fielding and resolving all kinds of inquiries in person at the front desk and through email correspondence, phone calls, and limited walk ins. May liaison with the Governor's Office and the federal delegation as well as state legislators. Act as a liaison between staff and executive staff. Working knowledge of computer systems and programs used by Unemployment Insurance claimants, jobseekers, and employers. Report issues within the building, or with computers, phones, and constituents in a timely manner. Responsible for providing high level of administrative support to the Commissioner and Deputy Commissioner, including scheduling and mail. May represent the Department before groups, committees, task forces, commissions, employees or the general public. May analyze and make recommendations regarding operating practices and procedures to include personnel, workflow, and performance standards to ensure smooth and efficient office operation. Implements new and revised procedures. As the hub of most activities in the Department, provides support services which may include: monitoring access to the building, maintaining visitor logs, answering general questions from walk-ins, callers, or emailed inquiries with respect to the Department or state government. Assists Department employees with general information and inquiries. May also participate in special projects, such as event planning. Performs related work as required.
