About The Position

The Executive Assistant provides high-level day to day administrative and strategic support for Senior Staff in the Housing Commissioner’s Office. The Executive Assistant will be a strong administrative professional that performs a variety of complex office, administrative and keyboarding work using Microsoft Office and other proprietary software programs to support DHCD agency leadership.

Requirements

  • Education: Have a high school diploma or a GED equivalent.
  • Experience: Have three years in executive level office support including two years of scheduling appointments, writing correspondence, setting up meetings and agendas and working in a confidential environment.
  • Knowledge of office practices and procedures.
  • Knowledge of the basic uses and capabilities of computers and information technology.
  • Knowledge of English grammar and usage, spelling, punctuation and vocabulary.
  • Proficiency in the application of Microsoft Office Suite Products to produce letters, reports and presentations
  • Ability to prepare correspondence and reports.
  • Ability to attend and participate in meetings.
  • Ability to maintain effective working relationships with agency staff and the general public
  • Ability to communicate effectively, both orally and in writing
  • Ability to adjust priorities, complete multiple tasks accurately and efficiently to meet changing deadlines.
  • Ability to work independently and in a collaborative team environment
  • Ability to take initiative and follow through on tasks.

Responsibilities

  • Provide high level day to day administrative and strategic support for the Housing Commissioner’s Office.
  • Attends, conducts, and participates in meetings conferences and similar situations to gather or present information.
  • Exercises sound independent judgment in screening mail, telephone calls and visitors; decides what matters come to superior's attention; provides information or answers to questions not requiring superior's attention.
  • Maintains appointment schedule and arranges meetings and conferences for superior; suggests and arranges alternate dates when original schedule cannot be met; notifies superior in advance of meetings and assembles correspondence, files and other material for meetings.
  • Maintains meeting notes for meetings attended by the superior.
  • Composes correspondence independently; routes information or work instructions from supervisor to staff members; monitors deadlines and follow-up actions.
  • Establishes and maintains effective working relationships with other employees necessary to expedite matters for superior.
  • Performs other related work as required
