About The Position

The Executive Assistant to the Superintendent provides high-level administrative and operational support to the Superintendent and Central Office leadership team. This position coordinates board processes, district communications, calendars, and confidential administrative work, requiring a high degree of professionalism, organization, and discretion. In addition, the Executive Assistant oversees districtwide student enrollment data and reporting, serving as the primary contact for certified enrollment processes and the Student Information System (SIS). This work directly impacts approximately $70 million in annual state, federal, and local funding. The position works collaboratively with district staff, families, partner agencies, and other school districts to ensure accurate data, compliance with state and federal requirements, and effective district operations.

Requirements

  • Associate degree in Business, Administration, or a related field, or equivalent combination of education and experience
  • Experience in an office or administrative setting required
  • Strong proficiency with databases, spreadsheets, and information systems; experience with student information systems preferred
  • Excellent organizational, communication, and problem-solving skills
  • Ability to manage confidential information with discretion and professionalism
  • Strong attention to detail and ability to manage multiple priorities and deadlines

Responsibilities

  • Provide executive-level administrative support to the Superintendent, including calendar management, board agendas, communications, and confidential matters
  • Coordinate Board of Education materials, public postings, and related communications
  • Serve as the district lead for certified enrollment processes, including special education, open enrollment, homeschooling, ELL, preschool, and concurrent enrollment
  • Oversee the accuracy, integrity, and security of student enrollment data and reporting
  • Serve as the district specialist for the Student Information System (SIS), including reporting, staff support, training, and annual rollovers
  • Collaborate with Central Office staff, building administrators, the Business Office, Student Services, and external agencies to ensure compliance with state and federal requirements
  • Provide work direction and support to the District Registrar
  • Assist with districtwide reporting, audits, and required state and federal submissions
  • Support the development and maintenance of the district calendar and other administrative initiatives
  • Perform other duties as assigned by the Superintendent
