About The Position

The Executive Assistant provides high-level administrative and operational support to the President and Board of Trustees. This role serves as a key liaison between the President's Office and internal/external stakeholders, ensuring the effective coordination of schedules, communications, and Board governance activities. The Executive Assistant manages sensitive information with discretion, supports institutional initiatives, and represents the President's Office with professionalism, adaptability, and a service-focused mindset.

Requirements

  • Bachelor's degree preferred; equivalent combination of education and relevant experience considered.
  • Minimum of five years of progressively responsible administrative experience, preferably in higher education or a complex organizational setting.
  • Advanced proficiency in Microsoft Office Suite, with the ability to quickly learn new technology platforms and tools.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Demonstrated ability to build relationships and work effectively with trustees, executives, faculty, staff, students, parents, and community partners.
  • Strong organizational and time-management skills with the ability to prioritize and manage multiple demands in a fast-paced environment.
  • High level of discretion and ability to handle confidential information with integrity.
  • Proven judgment, problem-solving skills, and adaptability to changing priorities.

Responsibilities

  • Manage the President's calendar, coordinate meetings and travel, prepare briefing materials, and ensure efficient workflow across priorities.
  • Draft, edit, and proofread correspondence, reports, and presentations on behalf of the President.
  • Coordinate quarterly Board and committee meetings, prepare agendas and materials, take and transcribe minutes, and serve as primary contact for Board members requiring assistance.
  • Oversee logistics with campus partners for events and meetings.
  • Serve as the first point of contact for the President's Office, welcoming visitors and addressing inquiries with professionalism.
  • Facilitate communication between the President, Board, senior leadership team, and external stakeholders.
  • Partner with Conference and Events, Food Services, and other departments to plan institutional events such as Commencement, Board functions, and special initiatives.
  • Represent the President's Office at planning meetings as needed.
  • Maintain accurate records and files for the President's Office, including document retention, destruction schedules, and required reporting (e.g., annual directories, official listings).
