About The Position

The Executive Assistant (EA) provides high-level administrative support to the Executive Team, ensuring smooth operations and effective communication. The ideal candidate will have substantial experience supporting senior executives, handling complex schedules, and coordinating high-stakes meetings and events. This role requires availability for occasional evening and weekend meetings and includes a strong preference for candidates with project management, event coordination, and/or development/design experience. Requirements

  • Associate's degree or higher preferred.
  • 3+ years of relevant experience supporting senior leadership in a fast-paced environment.
  • Prior experience as a Personal Assistant or in a high-discretion support role preferred.
  • Availability for occasional evening and weekend meetings is required.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • High proficiency in Microsoft Office and virtual meeting platforms.

Nice To Haves

  • Event planning, project management, or creative/design experience is a plus.

Responsibilities

  • Manage complex calendars for multiple executives, including scheduling across time zones and coordinating logistics for virtual and in-person meetings.
  • Provide administrative support including travel coordination, expense reports, and preparation of briefing materials.
  • Facilitate all technology and presentations for assigned meetings and complete minutes within 48 hours
  • Serve as the primary liaison between the Executive Team and internal/external stakeholders.
  • Assist in preparation and distribution of materials for board meetings and other high-level engagements.
  • Ensure timely follow-up on action items, project deadlines, and key deliverables.
  • Coordinate organizational events and manage all related logistics.
  • Maintain confidentiality and discretion in handling sensitive communications and documents.
  • Support special projects as needed, with an emphasis on detailed tracking and execution.
  • Any other duties as assigned.
