About The Position

The Executive Assistant to the Dean of Administration provides comprehensive administrative support to the Dean and the Office of Administration. This position ensures the efficient operation of the department by executing a wide range of administrative, financial, and logistical tasks.

Requirements

  • Excellent oral, written, and interpersonal communication skills, including excellent composition, editing, and proofreading abilities.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
  • Demonstrated strong organizational skills with the ability to manage multiple priorities, meet deadlines, and work with minimal supervision.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Professional demeanor with a strong commitment to customer service and teamwork.

  • Ability to pass a pre-employment background check.
  • Demonstrated knowledge in one or more of the following areas: post-secondary educational systems, North Slope Borough [NSB] institutions and organizations; Iñupiat culture, language, values, and traditions.
  • Ability to interpret and represent North Slope community values, customs, and beliefs for the College.
  • Ability to interpret and represent the College's actions and Western institutions to the North Slope community.
  • Ability to support Iḷisaġvik College’s mission.
  • Associate’s degree in business administration, office management, or a related field.
  • A minimum of five (5) years of professional administrative experience.
  • At least one (1) year of demonstrated experience with budget tracking or financial administration.

Responsibilities

  • Provide high-level administrative support to the Dean of Administration, including calendar management, correspondence, mail handling, and telephone communications.
  • Prepare, process, and track departmental purchase requests, check requests, and credit card purchases across all administrative divisions.
  • Reconcile monthly credit card statements for the Administration department.
  • Oversee the ordering, inventory, and storage of central College supplies.
  • Draft, edit, and format internal and external correspondence, memos, and reports with a high degree of accuracy.
  • Attends and records minutes for departmental meetings.
  • Coordinates communication and document flow between the Dean’s Office and other departments.
  • Support College rental housing operations, including liaising with tenants/landlords, tracking leases, generating invoices, and maintaining residential availability and assignments.
  • Schedule and oversee cleaning and maintenance services for staff residential units.
  • Monitor the scheduling and use of College-pooled vehicles, ensuring proper tracking and documentation.
  • Assist with budget tracking and financial reporting, demonstrating sound fiscal management.
  • Assist in the planning and execution of special projects and College-wide events as assigned.
  • Complies with College policies, procedures, and administrative directives, as well as state, federal, and local laws, regulations, and ordinances.
  • Maintain organized and confidential departmental records, both digital and physical.
  • Performs other related duties as assigned to support the success of the department and institution.
