About The Position

The Executive Assistant reports directly to the Chief Operating Officer (COO) and provides comprehensive administrative support to the COO and operational ministry areas. This role requires professionalism, discretion, kindness, and courtesy, with the ability to assist in crisis situations as needed.

Requirements

  • Associate’s degree required; Bachelor’s degree preferred
  • 3–5 years of experience supporting senior leadership in an administrative capacity.
  • Ability to work 40 hours per week, with occasional weekend availability as needed.
  • Proficiency in Google Workspace, Microsoft Excel, and Zoom.
  • Strong organizational skills and attention to detail.
  • Ability to interpret and manage financial reports and budgets.
  • Excellent verbal and written communication skills with a professional demeanor.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Love Jesus and call themselves Christians.
  • Embrace a high biblical standard of personal conduct and lifestyle.
  • Agree to and adhere to the church's statement of faith and leadership commitment.

Responsibilities

  • Manage all incoming calls, emails, and correspondence for the COO office, screening and responding as appropriate.
  • Maintain and coordinate the COO’s calendar, meetings, conferences, and church-wide activities.
  • Oversee multiple email accounts, schedules, and communications.
  • Draft, edit, and manage correspondence and documents.
  • Prioritize and manage competing demands with a proactive and solution-oriented approach, ensuring timely follow-up and completion of projects.
  • Provide administrative support for the Operations and Rooted Network teams, including managing logistics for meetings (room reservations, work orders, catering, IT, etc.).
  • Prepare agendas, reports, handouts, and other materials for meetings; document and track action items and follow-ups.
  • Maintain files, records, and key documents for operational ministries.
  • Execute various administrative tasks and special projects as assigned by the COO.
  • Conduct research and provide summaries on various topics and materials.
  • Support organizational priorities (such as SLT structure, Ministry Action Plans, WIGs, and employee engagement) through planning, tracking, and reporting.
  • Monitor budgets, reconcile monthly statements, process reimbursements, and handle check requests and invoices.
  • Assist with planning and logistics for cross-ministry events and activities.
  • Coordinate travel, hotel, and transportation arrangements for Operations and Rooted Network teams and remote staff.
  • Manage hospitality and event needs for all related meetings and gatherings.
  • Order and maintain office supplies and ensure organization of the office workroom.
  • Run occasional offsite errands as needed.
