About The Position

Miles Enterprise Solutions is seeking a proactive, tech-savvy Executive Assistant (EA) to provide high-level administrative, operational, and strategic support to the CEO. The ideal candidate is a detail-oriented professional who thrives in a dynamic, fast-paced environment, demonstrates strong judgment, and embraces technology—including AI tools—to enhance efficiency and effectiveness. This role serves as a trusted partner to the CEO and will manage complex scheduling, communication, research, and coordination across internal teams, clients, and partners.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • 3+ years of executive-level administrative or operational experience.
  • Strong proficiency in Microsoft 365 (Teams, Outlook, Excel, SharePoint, PowerPoint) and collaboration tools.
  • Familiarity with Salesforce CRM or other project management platforms.
  • Demonstrated experience using AI tools to support scheduling, writing, research, or analysis.
  • Excellent communication, writing, and interpersonal skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Discretion and confidentiality are essential.

Responsibilities

  • Manage and prioritize the CEO’s calendar, meetings, and travel logistics.
  • Prepare correspondence, presentations, and reports on behalf of the CEO.
  • Handle confidential information with discretion and professionalism.
  • Anticipate executive needs and proactively manage follow-ups and priorities.
  • Leverage tools such as Microsoft 365, Salesforce, and AI-driven assistants (e.g., ChatGPT, Copilot, Notion AI) to automate and streamline workflows.
  • Maintain digital records, track KPIs, and develop dashboards or briefings using available software tools.
  • Research, test, and recommend new digital tools that enhance productivity and communication.
  • Support cross-departmental coordination and communication to ensure alignment with strategic goals.
  • Assist in preparing executive summaries, meeting agendas, and post-meeting action items.
  • Support SharePoint site development and content
  • Support project tracking, data entry, and task automation for leadership initiatives.
  • Serve as the point of contact between the CEO and external partners, clients, and vendors.
  • Draft professional correspondence and communication on behalf of the CEO.
  • Support contract opportunities and proposal responses.
  • Support logistics for executive meetings, board presentations, and community events.
