About The Position

The Executive Assistant (EA) to the Chief Commercial Officer (CCO) is a high-level, pivotal role that provides comprehensive, proactive, and confidential administrative and operational support. This position acts as the strategic partner and "gatekeeper" to the CCO, who oversees all major revenue-generating arms of the team (e.g., Sponsorships, Ticket Sales, Premium Seating, Media/Retail, Marketing and more).

  • Experience using collaboration platforms such as Teams, Zoom, or similar
  • Skilled in preparing reports, spreadsheets, and presentations
  • Must be comfortable working in a high intensity setting, meeting tight deadlines and delivering quality results
  • Must be able to perform occasional physical tasks, which may include working outdoors for extended periods in varying weather conditions, including extreme heat

Responsibilities

  • Complex Calendar Ownership: Proactively manage the CCO's dynamic and complex calendar, prioritizing internal staff meetings, critical external partner meetings, league calls, and high-level strategy sessions. Resolve scheduling conflicts and optimize the CCO's time.
  • Gatekeeper/Liaison: Serve as the primary point of contact for all internal and external constituencies, including Owners, Team Presidents, League Executives, C-Suite partners, and high-value clients. Filter and prioritize correspondence, phone calls, and visitors.
  • Meeting Preparation: Prepare the CCO for all meetings by compiling comprehensive briefing materials, reports, presentations, and necessary follow-up documentation in advance. Attend key meetings to capture decisions, action items, and minutes as required.
  • Document Creation: Draft, proofread, and edit confidential correspondence, memos, emails, and reports on behalf of the CCO. Assist in preparing high-quality presentations for executive leadership and Board meetings (often using Microsoft PowerPoint).
  • Information Management: Create and maintain a highly organized system for confidential files, records, contracts (related to major commercial deals), and reports, ensuring immediate retrieval and compliance with confidentiality protocols.
  • Project Coordination: Assist in tracking and managing follow-up on departmental goals and strategic initiatives, ensuring action items assigned by the CCO to the commercial leadership team are completed on schedule.
  • Complex Travel Planning: Coordinate all aspects of domestic and potentially international business travel, including flights, accommodations, ground transportation, detailed itineraries, and meeting logistics. Handle last-minute changes with composure and efficiency.
  • Expense Management: Process and reconcile expense reports, invoices, and corporate credit card statements accurately and promptly, ensuring compliance with team finance policies.
  • Event Coordination: Assist with the planning, coordination, and logistics for internal executive team meetings, external client entertainment events, and large-scale commercial partner meetings or retreats.
  • Discretion: Handle all sensitive and confidential matters—including contract negotiations, revenue figures, personnel issues, and strategic planning—with absolute discretion, professionalism, and integrity.
  • Office Culture: Foster a professional, organized, and positive atmosphere in the executive office, collaborating effectively with other Executive Assistants and administrative staff.
