The Executive Assistant ensures the CEO’s time, priorities, and logistics are managed seamlessly, supports in-person operations, and helps create a professional, welcoming office environment. Requirements

  • 5+ years of experience supporting C-suite executives, ideally in a high-growth or fast-paced environment.
  • Proven ability to manage multiple priorities with precision, calm, and strong attention to detail.
  • Exceptional communication and organizational skills, with a confident and professional executive presence.
  • High emotional intelligence, discretion, and sound judgment when handling sensitive information.
  • A proactive, adaptable mindset with comfort navigating ambiguity and change.
  • A genuine passion for Personify Health’s mission to improve health and wellbeing.

Nice To Haves

  • 3+ years of experience in operations, communications, or project coordination preferred.

Responsibilities

  • Manage complex calendars, coordinate meetings and travel, and help prioritize competing demands—ensuring the CEO’s time is aligned to the highest-impact work.
  • Draft, edit, and prepare polished presentations, reports, and board or investor materials that reflect the Personify Health brand, mission, and executive voice. Ensure accuracy, clarity, and professionalism across all communications.
  • Plan and facilitate meetings (board, executive, and company-wide), prepare agendas, capture action items, and track next steps to ensure accountability and timely execution. Help the CEO stay prepared for key discussions and decisions by organizing information and anticipating questions.
  • Serve as a key liaison between the CEO, EAs, executive team, employees, board members, and external partners—fostering clear communication, strong relationships, and effective collaboration. Handle sensitive and confidential matters with discretion, professionalism, and care.
  • Manage expense reports, budget tracking, and administrative workflows, while providing coordination and support across the organization. Anticipate needs during periods of travel or high volume to ensure continuity and momentum.
  • Provide on-site support for in-person meetings, leadership offsites, and company events at the Tempe, AZ office. Coordinate with local vendors (facilities, catering, IT support, building management), manage office supplies and inventory, greet visitors and candidates, assist with front desk coverage as needed, and support day-to-day office coordination to maintain an organized, efficient, and welcoming environment.
