About The Position

The Executive Assistant provides high-level administrative, operational, and data support to Westminster-Canterbury’s Chief Executive Officer and Chief Financial Officer. This role coordinates board and committee activities, supports financial and reporting functions, manages schedules and communications, and contributes to data analysis, audits, and process improvement across the organization.

Requirements

  • Proven administrative success previously supporting C-Suite and a Board
  • Working knowledge of basic accounting practices, budgets, and procedures
  • Experience drafting letters, strong typing skills and running video meetings
  • Proficiency with Microsoft Office, Google Suite, and data/reporting tools
  • Flu-Vaccinated
  • Strong organizational skills with the ability to multitask and meet deadlines
  • Detail-oriented, accurate documentation skills
  • Excellent written and verbal communication skills
  • Professional demeanor with strong interpersonal skills; ability to work effectively with C-Suite, residents, coworkers, and board members
  • Neat, professional appearance

Nice To Haves

  • Bachelor’s degree in Business, Information Technology, or related field or a minimum of 5 years of relevant experience
  • COVID-19 Vaccinated. As of now, the 2025–2026 COVID-19 vaccine formulation is being distributed to providers and pharmacies; however, it has not yet received official approval from the CDC. In Virginia, pharmacists may administer COVID-19 vaccines under the Virginia Board of Pharmacy’s statewide protocols or with a direct order from a licensed medical provider. Responsibilities

  • Provide administrative support to the organization’s CEO and CFO, including scheduling, communication, and time management
  • Plan, coordinate, and document Board meetings, committees, town halls, and interdepartmental meetings
  • Serve as primary administrative contact for the Foundation Board of Directors, including correspondence, meeting materials, minutes, orientations, and logistics
  • Manage calendars for the CEO & CFO, and represent leadership at designated meetings
  • Prepare correspondence, reports, spreadsheets, and records; distribute materials as needed
  • Support financial processes, including check entry, batching, balancing, and monthly/annual reporting in Raiser’s Edge
  • Coordinate departmental deadlines, projects, and assigned initiatives
  • Create and maintain metric dashboards, data analytics, and benchmarks
  • Participate in accounting procedures (daily, weekly, month-end) and support audits and quality assurance processes
  • Research best practices and provide consulting support for operational improvement initiatives
  • Perform additional duties as assigned
