About The Position

The Executive Assistant / Operations Coordinator will serve as a critical operational partner supporting senior leadership across multiple business lines. This role is responsible for managing calendars, handling inbox communications, maintaining internal systems, and ensuring seamless coordination across teams. You will work cross-functionally, supporting initiatives across recruiting, venture capital, and startup operations. The role is execution-heavy and requires strong attention to detail, excellent communication skills, and the ability to operate independently after onboarding. This position is ideal for someone highly proactive, organized, and capable of anticipating needs before they arise in a fast-paced environment.

Requirements

  • 2+ years of experience in Executive Assistant, Operations, or similar roles
  • Strong written English communication skills
  • Proven ability to manage calendars and inboxes independently
  • High level of organization and follow-through discipline
  • Demonstrated proactiveness and ability to take initiative
  • Experience using AI tools such as ChatGPT and Claude AI
  • Ability to work full-time within Eastern Time hours
  • Comfortable working in fast-paced, multi-priority environments

Nice To Haves

  • Experience with project management tools
  • Familiarity with Excel for tracking and reporting
  • Prior exposure to ATS or CRM systems
