Our team is seeking an Executive Assistant and Office Manager to join our team in New York, NY. This role will be a dual position spending about half of their time supporting our Chief Growth Officer and the other half managing our NY office. The ideal candidate is extremely organized, has a strong attention to detail, excels in multi-tasking, and can work well on a team and individually in a fast-paced environment. The role will report to our Deputy Chief Operations Officer.

Requirements

  • 2+ years experience in an executive assistant or office manager role in an in-house, agency or consultancy environment.
  • Experience managing multiple projects and deadlines at once.
  • Always one step ahead and thinking of what needs to be done early to ensure smooth operations for the principal and office.
  • Excellent written and verbal communication skills.
  • Ability to work with colleagues across the agency.
  • Meticulous attention to detail.

Responsibilities

  • Manage the principal's calendar, anticipating needs and troubleshooting issues.
  • Professionally communicate with internal and external contacts and seamlessly manage incoming scheduling requests.
  • Communicate changes, demonstrate flexibility, and offer creative solutions.
  • Manage administrative functions for principal such as booking travel, managing expenses, and tracking hours.
  • Prepare research and briefing materials as needed.
  • Assist with special projects as needed.
  • Ensure the office is operating smoothly and well-stocked.
  • Order and stock snacks, drinks, and office supplies.
  • Maintain the office’s professional appearance, including ensuring space is organized and tidy.
  • Work with HR/IT to manage in-person needs for new hires and exiting employees in the NY office.
  • Work with DC-based IT Manager to manage office and IT equipment for NY office.
  • Manage maintenance requests and coordinate with vendors.
  • Serve as primary point of contact with building management.
  • Set up new staff and visitors in building security system.
  • Manage office improvement projects and office moves as needed.
  • Coordinate and plan office events including monthly lunches and monthly staff events. Includes managing caterers and vendors, set up, and clean up.
  • Serve as primary point of contact for NY staff for office-related questions and manage office-related staff communications.
  • Manage special projects as needed.
