About The Position

Seeking a proactive, organized Executive Assistant / Office Manager to support senior leadership and ensure smooth office operations. This hybrid role combines high-level administrative support, calendar and travel management, project coordination, and facilities/office administration. Key responsibilities: Provide executive-level support to CEO and senior leaders: manage complex calendars, schedule meetings, prepare agendas, take follow-up notes. Coordinate domestic and international travel: booking, itineraries, expense reporting, and other support as needed. Plan and coordinate company meetings, offsites, and all-staff events; manage catering and logistics. Oversee office operations and vendor relationships: supplies, equipment, maintenance, security, and building liaison. Manage onboarding logistics for new hires (workstations, access, welcome materials) and coordinate offboarding. Maintain and improve office systems, processes, and documentation. Support basic HR and finance tasks as needed. Lead ad-hoc projects and special initiatives that increase team efficiency or improve employee experience.

Requirements

  • 4+ years’ experience in executive support, office management, or similar role supporting senior executives.
  • Strong verbal and written communication skills; professional presentation and discretion handling confidential matters.
  • Excellent organizational skills with proven ability to manage competing priorities and complex calendars.
  • Proficiency with Microsoft 365, Zoom/Teams.
  • High attention to detail and strong problem-solving skills.
  • Comfortable working independently and as part of a small, fast-paced team.
  • Time management, prioritization, and calendar mastery.
  • Discretion, tact, and professional judgment.
  • Initiative, resourcefulness, and process orientation.
  • Interpersonal skills and ability to build relationships across levels.
  • Tech-savvy and adaptable to new tools/systems.

Nice To Haves

  • Experience supporting C-level executives and managing multi-office or hybrid work environments.
  • Event planning experience.
