About The Position

The role provides critical administrative and organizational support to the North America Executive Leadership Team. Responsibilities include managing scheduling, communication, budgeting, travel coordination, and record keeping to ensure seamless operations and enable the leadership team to focus on strategic priorities. The ideal candidate will be highly organized, detail-oriented, and capable of thriving in a fast-paced environment while maintaining discretion and professionalism.

Requirements

  • Administrative support at executive level preferred
  • Advanced proficiency in Zoom, MS Teams and Microsoft Office Suite
  • Strong written and verbal communication skills, including the ability to interface with key executives in a professional manner
  • Ability to establish relationships cross functionally, navigating ambiguity and using strong judgment to problem solve creatively
  • Ability to exercise independent judgement and initiative within established guidelines
  • Ability to thrive in a fast-paced, high-pressure environment, remaining adaptable and composed under stress.
  • A natural problem solver who takes initiative, drives change, and seeks efficiency improvements.
  • Must be highly organized and detail-oriented, with ability to prioritize and multi-task
  • High level of discretion and integrity in handling sensitive and confidential information.
  • Experience with travel planning and calendar management
  • Ability to set priorities, meet deadlines and follow through
  • Willingness to travel and work overtime, and on weekends with short notice

Responsibilities

  • Managing calendars on a daily, weekly and monthly basis, including all appointments, meetings and video calls
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Create memos, meeting agendas and other correspondence
  • Keep updated organizational charts and employee distribution lists for communications
  • Serve as lead for special event planning for offsite/onsite meetings
  • Attend meetings and take notes, as needed
  • Set up all travel arrangements including flights, hotels, itineraries and visa paperwork.
  • Create travel itineraries that includes contact numbers, meeting locations, etc.
  • Assist in the preparation of presentations and reporting for weekly, monthly, quarterly team meetings
  • Support in office meetings with IT devices, room set-up and other coordination as needed
  • Managing phones/messages and responding to basic requests for information
  • Track and process all Corporate Card and invoice expenses on a monthly basis
  • Send and track packages when necessary
  • Act as liaison between executive and internal/external stakeholders
  • Create office reservation in Workday
  • Assist with special projects as assigned
