About The Position

The Executive Assistant I is a trusted partner to the Chair, Department Administrator, and Radiation Oncology leadership, delivering high-level support that keeps the department running seamlessly. From managing executive priorities to coordinating critical operations, this role is essential to maintaining a fast-paced, organized, and high-performing environment.

Requirements

  • Bachelor's Degree PLUS two (2) years of administrative or related experience OR High School Diploma/GED Plus six (6) years of administrative or related experience
  • Excellent communication skills: written, verbal, listening
  • Must be able to interact well with others one-on-one and as part of a team.
  • Ability to set priorities and maintain a high level of organization while managing multiple deadlines.
  • Possess a high degree of initiative for independent work
  • Demonstrate attention to detail, accuracy and thoroughness
  • Handle sensitive information with absolute confidentiality
  • Computer experience and the ability to learn additional programs as needed

Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments for leadership
  • Prepare agendas, correspondence, reports, and other executive materials
  • Provide general administrative support to faculty and departmental leadership
  • Coordinate day-to-day administrative activities for the Radiation Oncology Department
  • Support departmental projects, initiatives, and workflow management
  • Assist with committee coordination, including scheduling, materials preparation, and documentation
  • Assist with HR-related processes and documentation
  • Ensure adherence to institutional policies and procedures
  • Manage purchasing activities in compliance with institutional guidelines
  • Coordinate travel arrangements, reimbursements, and related documentation
  • Support miscellaneous projects and departmental needs as assigned
  • Perform other duties as assigned
