About The Position

This role offers the opportunity to provide high-level executive support to a senior HR leader, ensuring seamless coordination of Talent and Rewards initiatives across the organization. The Executive Assistant will manage complex calendars, prepare executive materials, and organize cross-functional meetings, enabling the VP to focus on strategic priorities. You will serve as a central point for stakeholder communication, project coordination, and operational follow-through, while handling confidential information with discretion. The role requires a proactive mindset, exceptional organizational skills, and the ability to thrive in a fast-paced, remote environment. You will also support reporting, dashboards, and administrative tasks, contributing directly to the efficiency and success of the Talent & Rewards function. This is a fully remote position based in the U.S., with opportunities to engage across multiple time zones.

Requirements

  • 6–10 years of experience supporting senior executives, ideally in HR, Talent, or Rewards operations.
  • Proven ability to handle confidential and sensitive information with discretion and professionalism.
  • Strong organizational, multitasking, and calendar management skills across complex schedules.
  • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and experience with HR systems and collaboration tools.
  • Strong judgment, discretion, and ability to operate in high-trust, fast-paced environments.
  • Excellent communication skills and ability to interact effectively with cross-functional stakeholders.
  • Proactive, detail-oriented, and able to manage competing priorities independently.

Responsibilities

  • Manage the VP’s calendar, schedule meetings across multiple stakeholders, and coordinate leadership and board engagements.
  • Prepare executive-level agendas, briefing materials, presentations, and follow-up tracking to ensure timely completion of action items.
  • Arrange travel, process expense reports, and maintain discretion with sensitive information.
  • Coordinate logistics for talent reviews, performance evaluations, and compensation cycles.
  • Organize and maintain documentation such as organizational charts, job descriptions, and policy materials.
  • Support cross-functional collaboration with HR, Finance, Legal, and leadership teams.
  • Compile, format, and present HR data for leadership dashboards and updates.
  • Act as the primary coordination point for internal stakeholders and manage team communications, onboarding, and operational support for Talent & Rewards initiatives.
