About The Position

Provides professional administrative and operational support to multiple senior leaders, enabling efficient day-to-day operations in a fast-paced, matrixed, and increasingly digital work environment. The Executive Assistant proactively manages administrative tasks, supports communication and coordination, and applies sound judgment while handling confidential information, allowing leaders and teams to focus on business priorities.

Requirements

  • High School Diploma or GED required
  • Minimum of 4 years of advanced administrative, executive assistant, or related support experience
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams)
  • Strong organizational and time-management skills
  • Ability to manage multiple tasks and competing priorities
  • Professional written and verbal communication skills
  • Demonstrated discretion when handling confidential information
  • Candidate must be willing to work EST or CST time zones

Nice To Haves

  • Previous experience supporting VP-level or senior leaders
  • Experience working in a matrixed or large enterprise environment
  • Intermediate skills working with Concur or similar expense reporting systems
  • Experience supporting virtual and hybrid teams

Responsibilities

  • Provides daily administrative support, including correspondence, document preparation, and handling confidential information.
  • Drafts and formats professional emails, presentations, reports, and meeting materials.
  • Serves as a primary point of contact for internal and external stakeholders, escalating issues as needed.
  • Manages complex calendars, schedules meetings, and resolves conflicts.
  • Coordinates domestic and international travel, including detailed itineraries.
  • Supports virtual, hybrid, and in person meetings by handling logistics, materials, agendas, and follow ups.
  • Tracks deadlines and ensures leaders are prepared for upcoming commitments.
  • Processes expense reports, invoices, and reimbursements per company policy.
  • Verifies documentation and resolves discrepancies.
  • Provides basic budget, meeting, and event tracking support.
  • Maintains organized electronic files aligned with retention standards.
  • Uses Microsoft Office and collaboration tools (Outlook, Teams, Word, Excel, PowerPoint, SharePoint).
  • Creates and maintains standard spreadsheets, reports, and presentations.
  • Supports effective use of virtual collaboration tools in a hybrid environment.
  • Screens and prioritizes incoming communications.
  • Researches information and interprets basic policies to resolve routine issues.
  • Identifies potential concerns and escalates non routine matters appropriately.
