About The Position

The Executive Assistant role is responsible for providing high-level administrative support to the Executive Vice President of Senior Housing Asset Management and their leadership team. This is a high-visibility, fast-paced role requiring exceptional discretion, flexibility, and professionalism. Key responsibilities include, but are not limited to: Manage complex calendars for the EVP and leadership team, including scheduling, rescheduling, and prioritizing meetings across time zones; anticipate changes and proactively adjust logistics. Coordinate internal and external meetings, including agendas, supporting materials, catering, and technology setup; may attend meetings to capture notes and prepare follow-up documentation. Arrange domestic and occasional international travel, including flights, hotels, ground transportation, and itineraries; ensure seamless execution and timely updates. Prepare and submit expense reports in compliance with company policy; track reimbursements and resolve discrepancies. Draft, edit, and format emails, memos, presentations, and reports using Microsoft Office Suite (especially Outlook, PowerPoint, and Excel); ensure accuracy, professionalism, and alignment with executive tone. Serve as a liaison between the EVP, internal teams, and external stakeholders; manage communications with discretion and professionalism. Welcome and host guests and visitors; coordinate logistics for visiting executives, clients, and partners. Support ad hoc initiatives and cross-functional projects as assigned; conduct research and assemble materials for executive briefings and presentations.

Requirements

  • Bachelor's degree or equivalent experience in Business Administration, Communications, or related field.
  • Minimum of 5 years of experience as an Executive Assistant providing direct support to executive-level leaders (C-suite, EVP/SVP, or equivalent), ideally within financial services, asset management, or professional services.
  • Must be located in Chicago, IL surrounding area or willing to relocate for the duration of employment.
  • Willingness to adapt and thrive in a blended work environment with 3-days in office, seamlessly transitioning between remote work and in-office operations.
  • Flexibility to extend working hours as needed to meet the on-call demands of senior leadership, including after-hours communication and coordination.
  • Advanced proficiency in Microsoft Office Suite, especially Outlook, PowerPoint, and Excel.
  • Proven ability to manage multiple priorities in a fast-paced, high-pressure environment.
  • Strong written and verbal communication skills with high level of integrity, discretion, and professionalism.
  • Must be legally authorized to work in the United States without need for employer sponsorship now or in the future.
