Metropolis is seeking a highly capable Executive Assistant to join the CEO Office, supporting the CEO and partnering closely with senior leaders. You are an experienced executive assistant who thrives in fast-paced, high-expectation environments and brings a strong sense of ownership to your work. You anticipate needs, manage complexity with ease, and operate with exceptional discretion and judgment. You are energized by being at the center of the business, comfortable with shifting priorities, and take pride in keeping leaders focused, prepared, and moving forward.

Requirements

  • CEO lives in LA & is in NY at least one week per month. One EA is in LA; this role is for EA in NYC.
  • Ideal candidates reside near our NYC office or are within a commutable distance to our office
  • In office 4 days per week w/ expectation to match CEO in-office hours when in NY (as early as a 7:30am start)
  • Option to work from home one day per week
  • Occasional travel may be necessary.
  • Available by phone 24/7, with self-imposed boundaries to ensure work-life balance.

Responsibilities

  • Collaborate with the Director of the CEO Office and Chief of Staff to ensure the CEO's schedule and tasks are efficiently managed.
  • Schedule heavy flow of meetings
  • Arrange travel worldwide - air & ground transportation
  • Meeting preparation
  • Oversee daily management of printed materials for the CEO, regardless of location.
  • Coordinate the CEO's meals when in NY & when traveling.
  • Handle business-related gift-giving.
  • Manage LinkedIn for CEO.
  • Keep CEO on schedule and prepared for meetings.
  • Monitor & act on multiple communication channels at once - email, text, Signal, Slack, Asana - in a timely manner
  • Manage all team events owned by CEO office
  • Coordinate logistics & communication for all event attendees
  • Events: Monthly ELT Offsites; in person MBRs; Board Meetings; Impact offsites; Annual Dinner in CT; Etc
  • Occasional travel required to manage events on site, as needed
