About The Position

Fluke is seeking an exceptional, self-motivated, and versatile Executive Assistant to provide strategic, proactive, and highly organized support to the VP of Global Engineering. The ideal candidate must have excellent problem solving and judgment skills and the ability to think and plan ahead. They need to be able to handle multiple concurrent requests appropriately and manage time effectively. This role goes beyond traditional administrative tasks and requires operational thinking, strong communication skills, and ownership of engagement and communication programs that keep a global engineering organization streamlined and connected.

Requirements

  • 5+ years supporting senior executives in a fast-paced, global, or technical environment.
  • Expertise with Outlook, Teams, SharePoint, PowerPoint, Excel, and Microsoft 365 tools.
  • Experience driving team engagement, coordinating events, or owning internal communications.
  • Strong judgment, confidentiality, and ability to operate autonomously.
  • Ability to anticipate needs, problem-solve quickly, and adapt during times of organizational change.
  • Attention to detail, strive for accuracy and ability to meet tight deadlines.
  • Exceptional verbal, written and interpersonal communication skills.
  • Collaborative, team player; willing to jump in and do the work needed to be done.

Responsibilities

  • Executive Support & Time Optimization
  • Manage a highly dynamic calendar with strong judgment around prioritization, gatekeeping, and protecting time for strategic work.
  • Implement tools, systems, and best practices to maximize executive productivity and reduce cognitive load.
  • Triage inboxes, draft communications, coordinate follow-ups, and create briefing materials.
  • Coordinate domestic and international travel, ensure policy compliance, and manage expenses.
  • Operational Excellence & Rhythm of Business (ROB)
  • Own the Engineering Rhythm of Business, including staff meetings, business reviews, All Employee Meetings, leadership touchpoints, and recurring operational cadences.
  • Prepare agendas, pre-reads, follow-up trackers, and decision packets; ensure meetings start on time with the right materials.
  • Maintain visibility into long-range planning and upcoming priorities to support proactive execution.
  • Support budget, vendor coordination, and purchasing workflows as needed.
  • Ability to accommodate a flexible work schedule.
  • Engagement, Communications & Cross Functional Support
  • Lead engineering-wide engagement events such as team lunches, appreciation events, theme days, and other connection building activities.
  • Own the Engineering Newsletter and broader communication channels—planning, creating, and distributing content across email, Teams, TVs, and digital displays, in partnership with Marketing & Comms.
  • Partner with Engineering leadership to ensure events and communications align with team needs, survey insights, and organizational priorities.
  • Coordinate with cross functional partners (e.g., IT, Facilities, HR, and other functional teams) to resolve employee needs, enable effective operations, and support joint events or updates.
  • Support occasional movement of equipment or supplies between Engineering spaces for events, tours, or meetings.
  • Innovation & Continuous Improvement
  • Share best practices with the EA community and continuously look for new ways to innovate workflows.
  • Identify opportunities to improve engagement, communication, clarity, and organizational connectedness.
  • Integrate AI and automation tools into EA processes to improve efficiency, automate notes, and reduce repetitive work.
