The Executive Assistant performs a diverse level of administrative support for the Chief Development Officer and the VP - Global Systems Optimization, Franchise & Portfolio Mgmt. They may manage various projects, calendar, budget and travel for the executive and their department. Coordinate and maintain effective office procedures in accordance with company policies. Provide response to inquiries; manage incoming and outgoing correspondence and calls. A high degree of professionalism is required in dealing with internal and external contacts as well as being a good team player.

Requirements

  • Minimum four years of administrative experience, including two years of experience with executive-level management
  • Confident interacting and communicating with executives
  • Possess excellent computer proficiencies including advanced MS Word, PowerPoint and Excel skills
  • A high degree of professionalism, integrity and discretion; excellent judgment and superior written and verbal communication skills
  • Think clearly and analyze problems of organization and management and take effective action
  • Demonstrated success managing multiple and diverse tasks/projects; strong attention to detail and outstanding follow-through
  • Ability to work independently without significant assistance or direction; work under pressure and time constraints; handle changing prioritie s

Responsibilities

  • Creates/composes and edits memos, letters, and minutes; researches and creates executive presentation materials and reports.
  • Compiles, inputs and tabulates data/statistics for reports.
  • Performs advanced analyses and recommends course of action.
  • Interacts as liaison between executive and staff members, business associates, and other departments by relaying information; coordinates programs; arranges meetings.
  • Develops, monitors, and revises executive’s schedule, coordinating busy travel schedules and booking travel.
  • Maintains sensitive and confidential issues and inquiries for executive, including personnel, wage, budget, and strategic information.
  • Conserves executive’s time by screening and responding to telephone calls and E-mails on behalf of the executive.
  • Anticipates situations and acts to resolve them.
  • Researches information and conducts preliminary analyses of data and reports findings.
  • Fills out reports/expense vouchers; reconciles vouchers to credit card statements and makes adjustments.
  • Prepares department’s budget, consolidates departmental budgets, prepares variance reports, reviews and analyzes monthly P&L statements, reconciles variances and reports findings.
  • Works closely with the Budget office.
  • Attends staff meetings, composes/transcribes and distributes meeting notes.
  • Plans meetings, executive functions and special events, including securing locations, determining food and beverage menus, selecting entertainment/gifts and determining transportation logistics.
