Metropolis is seeking a Contract Executive Assistant to provide critical temporary support for 6+ months, directly supporting three of our Co-Founders. You will play a critical role in optimizing their time, managing complex calendars, and ensuring seamless day-to-day operations. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced, dynamic environment. You will manage scheduling, travel logistics, meeting preparation, and communication flow across three busy executives, enabling them to focus on driving Metropolis' strategy, culture, and integration initiatives.

Requirements

  • Ability to provide temporary support for 6+ months
  • 4+ years of experience supporting senior executives, preferably in a high-growth or fast-paced environment
  • Experience supporting multiple executives, ideally founders or C-suite leaders at large enterprise companies
  • Exceptional verbal and written communication skills
  • Strong calendar and scheduling management skills, with proven ability to manage competing priorities across multiple leaders
  • Excellent organizational skills, attention to detail, and ability to anticipate needs
  • Strong communication and interpersonal skills; comfortable interacting with senior leaders and external partners
  • Proven ability to prioritize tasks and manage time efficiently in a dynamic environment
  • Proficient in Google Workspace and Asana; ability to quickly learn new tools and systems

Responsibilities

  • Provide high-level calendar management for three Co-Founders, including scheduling, coordinating, and confirming meetings with internal and external stakeholders
  • Anticipate and resolve scheduling conflicts across all three leaders, ensuring appropriate time for preparation, travel, and follow-ups
  • Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries, aligned with executive preferences and company policies
  • Prepare executives for meetings by gathering materials, researching attendees, and ensuring all logistics are in place
  • Track and follow up on key action items and priorities across strategy, culture, and integration workstreams
  • Facilitate communication between executives, teams, and external partners, providing timely updates and ensuring clarity on schedules and priorities
  • Partner closely with our Administrative Director and other administrative staff to align leadership calendars and maintain consistent operating cadences
  • Process expense reports, invoices, and other administrative tasks to support smooth executive operations
  • Maintain discretion and confidentiality when handling sensitive company information
  • Represent Metropolis professionally in all interactions, creating a positive and seamless experience for employees, partners, and stakeholders
