We are actively hiring a Medical Executive Assistant at our site in Century City, Los Angeles. This location was formerly operated as Valkyrie Clinical Trials, and we are proud to welcome the Valkyrie team into the Flourish Research network. We are seeking a highly organized and dependable Executive Assistant to provide comprehensive support to senior leadership in both professional and personal capacities. The ideal candidate will demonstrate exceptional time management, strong communication skills, and the ability to manage a wide variety of responsibilities with discretion and professionalism. This role plays an important part in helping leadership maintain an efficient schedule while ensuring both professional and personal commitments are well coordinated.

Requirements

  • Bachelor’s degree or equivalent experience in a related field (administration, management, personal assistance).
  • Proven experience as a personal assistant or in a similar role, ideally supporting healthcare leaders, physicians, or C-suite executives
  • Strong organizational skills with the ability to manage multiple priorities seamlessly.
  • Excellent written and verbal communication skills.
  • High level of discretion, confidentiality, and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with personal management tools.

Responsibilities

  • Manage the physician executive’s professional and personal calendar, including meetings, appointments, and key commitments.
  • Arrange travel itineraries, including transportation and accommodation, for both work and personal trips.
  • Handle correspondence, phone calls, and emails, prioritizing messages and responding on behalf of the doctor when appropriate.
  • Coordinate personal logistics and scheduling needs for leadership as needed.
  • Assist in planning personal events, such as family gatherings, celebrations, and social functions.
  • Help organize community outreach or philanthropic activities aligned with the doctor’s interests.
  • Support in managing household tasks, including budgeting, scheduling maintenance, and organizing family logistics.
  • Liaise with vendors and service providers to ensure smooth operations at home.
  • Maintain the highest level of confidentiality regarding personal and professional matters.
  • Exercise discretion in all interactions and decision-making processes.
