About The Position

We are seeking a highly organized, detail oriented, and go-getter Executive Assistant to provide high-level administrative support to the Chief Executive Officer of a leading controlled environment agriculture (CEA) leafy greens producer and nationally recognized consumer packaged goods (CPG) brand. This person will work cross-departmentally, and be external facing with key clients, partners, and stakeholders to provide multifaceted support to the CEO. Gotham Greens is on a mission to transform how and where fresh produce is grown. They are a pioneer in urban indoor agriculture and a leading fresh produce and food company. Through a national network of local high-tech farms, Gotham Greens delivers fresh, long-lasting and delicious leafy greens, herbs, salad dressings and pesto dips all year round to retail, restaurant and foodservice customers. Founded in 2009, the company opened its first greenhouse in Brooklyn, N.Y., and today operates +1,500,000 square feet of high-tech greenhouse in 12 locations across nine U.S. states. The team of 600+ full time members are hard-working, supportive and passionate about sustainable urban agriculture, working to create an environment that is caring, fun and collaborative.

Requirements

  • 2- or 4-year college degree.
  • Minimum of 5 years’+ experience as an executive assistant to the C-Suite.
  • Excellent verbal, written, and interpersonal communication skills.
  • Highly organized and detail oriented.
  • Enjoys working in an entrepreneurial, fast-paced environment.
  • Acts with a high degree of professionalism and intuition to read the room.
  • Excellent time management skills; Proven ability to meet deadlines and deliver accurate client ready work.
  • Ethically grounded; Ability to exercise sound judgment and confidentiality in an array of situations, particularly C-Level business.
  • Proficiency in Microsoft Suite: Excel, Outlook, Word, Teams, PowerPoint; SharePoint; Zoom.
  • Must have valid authorization to work in the United States.
  • Must be willing/able to work Pacific time zone.

Responsibilities

  • Exercise a high level of confidentiality and discretion, especially relating to sensitive Company matters at the C-Level.
  • Maintain a daily calendar of meetings and events.
  • Coordinate and organize complex calendars and schedules such as leadership and board meetings; Recognize and resolve any scheduling conflicts in advance and with adequate notice to all attendees.
  • Be responsive to emails/texts/phone calls during and outside normal business hours.
  • Assist in preparing Word, Excel, PowerPoint presentations, decks, agendas, reports, special projects and other documents in support of, and to maximize the efficiency of the CEO.
  • Arrange travel and accommodations for the CEO and prepare related expense reports.
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
  • Intake and deliver accurate messages to/from the office of the CEO; Respond to requests by gathering and providing pertinent information; Redirect non-routine matters, as appropriate.
  • Copy, scan, and email business documents to/for/on behalf of the CEO.
  • Open, organize, and summarize business mail addressed to the CEO; Respond or re-direct as appropriate.
  • Coordinate any digital solutions/ IT support requests relating to the office of the CEO.
  • Represent the company and the CEO in a positive light through great follow-through skills, sound judgment, discretion, and confidentiality.
  • Provide support to the Chief of Staff of the CEO, as assigned.
  • Complete ad hoc projects and additional duties, as assigned (may include personal and/or family matters).
