About The Position

The Executive Admin will provide administrative, efficient and comprehensive support to the Finance and Generosity Executive Pastor.

Requirements

  • Experience with business, non-profit and/or church administration is preferred.
  • Experience with customer service, teaching and/or leading people is preferred.
  • Experience or proficiency in software administration such as Microsoft Office Suite, G-Suite Apps, Planning Center Online (PCO) church database software, and/or BaseCamp 3 Project Management software, including XERO Accounting.
  • Ability to handle multiple projects effectively in a fast-paced environment.
  • Basic understanding of financial/accounting terms and methods.
  • Ability to learn efficient note taking skills.
  • Editing and proofreading ability
  • Strong written/oral communication and interpersonal skills

Responsibilities

  • Assist in preparing reports for the Executive Leadership Team and Board of Trustees.
  • Purchase/reserve requested items or services on behalf of the XP.
  • Tag and upload the XP’s receipts into the American Express app.
  • Help track deadlines related to budgets, audits, financial reviews, and donor communications.
  • Support stewardship campaigns, Legacy offerings, and generosity initiatives.
  • Maintain donor correspondence records, acknowledgments, and follow-up tasks (in coordination with finance staff).
  • Coordinate with accounting, payroll, and external vendors as directed.
  • Assist with admin batch giving and oversight of our giving platform (PCO)
  • Produce and input monthly “1st Time Givers” data for our Ministry Dashboard
  • Manage annual “Year End Giving Statements”
  • Manage all W9’s and 1099 statements
  • Share in the responsibilities of planning and executing all aspects of our staff related events. (Includes: Staff Advances, monthly All Staff meetings, Staff and Board Christmas Party, etc.) This will be a collaborative team approach among the EA’s.
  • Support special projects related to budgeting, campus initiatives, capital projects, and financial planning.
  • Help maintain SOPs related to finance and generosity.
  • Track project timelines and ensure deliverables are completed on schedule.
  • Assist with onboarding and coordination of finance-related staff and volunteers.
  • Take detailed and organized notes during requested meetings.
  • Publish notes/assign tasks on Basecamp as needed.
  • Manage and schedule all meeting requests to and from the XP.
  • Respond to emails on behalf of the XP/GO Church as needed.
  • Assist with making phone calls to attendees and/or community members.
  • Edit/revise emails or publications to ensure excellence and clarity.
  • Serve as a professional point of contact for internal staff, donors, vendors, and ministry partners.
  • Handle sensitive information with integrity, confidentiality, and discretion.
  • Support communication between departments related to financial processes and stewardship initiatives.
  • Execute any additional items assigned by the Executive Pastor.
  • Prepare internal communications, summaries, and ministry updates on behalf of the XP.
  • Assist with budget coordination and preparation of ELT and Board of Trustees materials.
  • Track wins, progress, and key metrics to support leadership alignment and accountability.
  • Maintain a vital and growing personal walk with the Lord through committed personal Bible study, prayer and fasting.
  • Maintain proper priorities in your relationship with Christ, your spouse/family.
  • Must stand in alignment with GO Church and Church of God “Doctrinal Commitments”.
  • Must be in alignment and loyal to the GO Church Vision, Mission, Core Values and Value Proposition.

  • Financially support the mission and vision of the Church by faithfully giving at least 10% of your gross income. Maintain wise stewardship measures over the remaining 90%.

  • Maintain a neat and professional appearance.
  • Read and sign all HR Documents.
