About The Position

The Executive Administrative Support Specialist is a highly skilled professional dedicated to optimizing productivity, efficiency, and service quality in dynamic environments. This role provides advanced administrative, organizational, and operational support to executive leadership, ensuring smooth office operations and superior service delivery. The ideal candidate will possess extensive experience in administrative support, strong technical and organizational skills, and a proven ability to work in high-pressure, fast-paced settings.

Requirements

  • Minimum of 5 years in executive administrative support roles, with a proven track record of optimizing productivity and efficiency.
  • At least 4 years of experience in a Space-related industry or similar environment preferred.
  • Demonstrated experience in HR coordination, including onboarding and DTS management.
  • Advanced organizational, technical, and business acumen.
  • Exceptional written and verbal communication skills.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong interpersonal skills with the ability to collaborate effectively across teams.
  • Current Secret Clearance required.

  • Bachelor’s degree in Business Administration, Management, or related field preferred (or equivalent experience).

Responsibilities

  • Provide comprehensive executive-level administrative support, including calendar management, scheduling meetings, and coordinating travel arrangements through the Defense Travel System (DTS).
  • Manage correspondence, prepare reports, and ensure timely communication with internal and external stakeholders.
  • Serve as the primary point of contact (POC) and administrator for executive-level initiatives and correspondence.
  • Oversee office management functions, including maintaining accurate and detailed records, tracking documents, and managing supplies.
  • Ensure operational excellence by identifying areas for improvement and implementing process optimizations.
  • Coordinate and lead cross-functional teams to achieve organizational goals.
  • Maintain organized and detailed records of all documents, ensuring confidentiality and compliance with organizational policies.
  • Handle sensitive information with discretion and integrity.
  • Demonstrate leadership by guiding teams, resolving challenges, and fostering collaboration.
  • Provide strategic insights and problem-solving expertise to address complex operational issues.
