About The Position

The Louisiana Refining Division is seeking an Executive Administrative Assistant to provide high-level administrative and operational support to the Vice-President’s Office and the Technical Services organization. This role is crucial for ensuring efficient office operations, seamless coordination of meetings and communications, and strong support for leadership, employees, and visitors. The position demands strong organizational skills, meticulous attention to detail, and the capability to manage multiple priorities effectively in a dynamic work environment.

Requirements

  • High school diploma or equivalent required.
  • Five years of Administrative Assistant experience required.
  • Strong organizational, time management, and multitasking ability.
  • Excellent verbal and written communication skills.
  • High attention to detail with the ability to maintain accuracy and confidentiality.
  • Proficiency with Microsoft Office applications and collaboration tools (Outlook, SharePoint, Teams).
  • Experience coordinating meetings, events, or executive schedules.
  • Strong customer service mindset with the ability to interact professionally with leaders, employees, and external partners.

  • Experience supporting a high-level leader or multiple leaders preferred.

Responsibilities

  • Provide comprehensive administrative support to the Vice-President’s Office and Technical Services leadership, ensuring efficient day-to-day operations.
  • Manage schedules, logistics, and coordination for leadership meetings, town halls, and special events, both onsite and offsite.
  • Serve as a primary point of contact for communications, including emails and phone calls, ensuring timely and professional responses.
  • Organize, maintain, and manage office files, records, and administrative documentation in compliance with company policies and procedures.
  • Process expense reports, serve as departmental timekeeper, and distribute routine reports and updates to stakeholders.
  • Manage office and facility needs, including office supplies, work orders, and general office support services.
  • Maintain and manage departmental SharePoint content and serve as custodian for managed documents.
  • Oversee company housing and apartment arrangements, ensuring accommodations are prepared, maintained, and meet organizational needs.
  • Coordinate onboarding activities, office space assignments, and support services for interns, new hires, transfers, and visiting staff.
  • Assist with employee engagement, community involvement, and fundraising events.
