About The Position

Assist the Executive Office Manager & senior staff in managing schedules, daily paperwork, reports, memos, filing and phone calls.

Requirements

  • Two (2) year degree in Business Administration, Finance, Accounting, or closely related field; or equivalent combination of education and experience.
  • Minimum of three (3) years’ experience in an administrative/secretarial position for an executive level manager.
  • Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
  • Ability to balance competing priorities with professionalism and poise.
  • Advanced knowledge of standard office administrative practices and procedures.
  • Ability to handle multiple tasks and projects with meticulous attention to detail.
  • Excellent communication and public relations skills.
  • Possess a high level of integrity and confidentiality.
  • Must have advanced Microsoft office (Word, Outlook, Excel, PowerPoint) and spreadsheet skills.
  • Must possess proficient typing skills.
  • Must possess the ability to work with minimal supervision.
  • Must possess experience with multi-line phone system.
  • Due to the nature of the business, nights and weekends may be required on occasion.
  • Must be willing to work in a smoking environment.
  • Must be willing to adhere to company health and safety measures.

Responsibilities

  • Promotes superior guest service.
  • Maintains, and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
  • Must possess excellent inter-personal skills with an ability to foster a supportive and enabling team environment.
  • Answer incoming calls, and route to appropriate department/individual, take messages as needed; Provide guests with information necessary to meet their needs.
  • Receive and greet company personnel and business associates (i.e. vendors, guests, team members) and direct them to the appropriate department/individual.
  • Manage senior team’s calendar; Provide administrative support to other departments as needed;
  • Record minutes during meetings, type correspondence, reports, other similar work to meet organizational needs;
  • Collate and staple manuals, papers, and promotional materials, as necessary.
  • Manage travel arrangements for current and potential Team Members;
  • Assist with CTGA and OPS Boards meetings, responsible for the shipping and mail routing process.
  • Maintain and operate all department office equipment.
  • Ensure that the reception & kitchen areas and conference room are presentable and meets organizational guest service standards and expectations.
  • Order and maintain supplies and arrange for equipment maintenance.
  • Assist with special projects and provide support to all executives as needed.
  • Perform receptionist related duties.
  • Maintains confidentiality of sensitive information.
  • Perform other related duties as assigned.
