The University of Maryland Faculty Physicians, Inc is currently seeking an Executive Administrative Assistant in the Department of Neurosurgery. The incumbent will support administrative functions of neurosurgical faculty practices the University of Maryland Medical Center. The Department of Neurosurgery aims to excel and innovate in the clinical practice, science, and education of neurosurgery. Always Do the Right Thing Leave It Better Than You Found It Drive to Mastery The Executive Administrative Assistant provides high‑level administrative and operational support to two neurosurgery faculty members within a busy clinical practice. This role is essential to the smooth coordination of clinical schedules, patient communication, and daily administrative workflows. The ideal candidate is highly organized, detail‑oriented, professional, and proactive, with a strong commitment to customer service and patient‑centered care. This individual serves as a key liaison between faculty, patients, and clinical and administrative teams, ensuring that clinics and daily activities run efficiently, respectfully, and in alignment with departmental functions and values.

Requirements

  • Five years related office experience with at least 2 years providing advanced level of administrative support

Nice To Haves

  • Bachelor’s Degree preferred; and/or combination of education/experience
  • Demonstrated experience in a healthcare, academic, or clinical practice environment preferred

Responsibilities

  • Provide comprehensive, discreet, and confidential executive‑level administrative support to two neurosurgery faculty, exercising sound judgment and professionalism at all times
  • Coordinate and maintain complex daily calendars, including clinic schedules, meetings, and other professional obligations, ensuring priorities are appropriately managed in a dynamic clinical environment
  • Develop and implement processes and procedures that proactively relieve faculty of administrative detail, thus freeing faculty to perform duties
  • Serve as a primary point of contact for patients, responding to inquiries in a timely, respectful, and compassionate manner and facilitating communication with faculty and clinical teams
  • Coordinate closely with clinical staff and support teams to ensure seamless clinic operations and continuity of patient care
  • Assist with clinic preparation by organizing schedules, documentation, and administrative materials in advance of and during patient visits
  • Anticipate faculty and practice needs and proactively address administrative, scheduling, or logistical issues with minimal direction
  • Perform routine and advanced administrative tasks including correspondence, data entry, tracking requests, maintaining records, and preparing documents or materials as needed
  • Use organizational knowledge to appropriately route inquiries and resolve routine and non‑routine issues independently when possible
  • Maintain strict confidentiality when handling sensitive patient, faculty, and practice information
  • Demonstrate a consistent commitment to service excellence, professionalism, integrity, respect, and teamwork
  • Contribute to a prepared, organized, and service‑oriented clinical environment that reflects the values and standards of the practice
